Description of the assignment

Actemium specialise in the bespoke design and fabrication of process related projects working to Food Hygiene standards and operating under BS EN1090 classifications.

This is an exciting opportunity for a Business Administrator to join our rapidly growing Mechanical Engineering team. You will be responsible for the day to day running of the administration functions within the Business Unit (BU). You will also provide support to the Business Unit General Manager and the team to assist with the effective running of the BU. You are required to build and maintain strong collaborative relationships with the operational staff within the BU and within the group.

Key Objectives:

 

Responsible for coordination and day to day running of the Administration function within the Business Unit whilst providing an excellent and consistent administrative service to all including employees, customers and suppliers.
Provide support in ensuring that the rules, principles, and the internal control requirements of the Group are met including Business Unit reporting obligations.
Liaise with and support the Business Unit Finance Team. You will report directly into the Finance Business Partner
 

Responsibilities & Accountabilities:

 

  • Support Project Managers with admin and compliance.
  • Raising of purchase orders, GRN and processing of all purchase invoices.
  • Processing weekly timesheets to support the Central Payroll function.
  • Assist with new starter paperwork and maintenance of HR Records.
  • Tracking of annual leave / sickness within the Business Unit.
  • Maintenance of the Business Units Health & Safety records.
  • Assisting with the completion of project documentation.
  • Compiling information related to live projects to ensure we comply with our standards.
  • Work with project managers to facilitate the completion of O&M Manuals.
  • Other Ad- Hoc administration task such as booking accommodation & travel.
  • Make sure data / transactions are accurately recorded in a timely manner and in accordance with the group and general accounting rules.
  • Aid the BU Finance Team with the year end audit by providing the necessary information.
  • Ongoing maintenance of records / filing of project data.
  • Responsible for creation and maintenance of the Business Units customer / vendor accounts.
  • Maintain and retrieve all company records (training, holiday, insurance, plant and equipment etc) in appropriate filing systems.
  • Control of Office Supplies & Ordering.
  • Debtors support.
  • Asset register control.
     

 

 

 

 

Profile

Technical Skills & experience:

  • Strong Admin background
  • Outstanding oral and written communication skills are imperative for this role.
  • The person will need to be a confident communicator, across all levels both internally and externally
  • Friendly and approachable manner, able to build and sustain relationships based on trust at all levels
  • An eye for detail, focused on quality and accuracy, within a busy environment, without compromising deadlines
  • Strong IT skills in particular, Microsoft Office (Excel, Outlook and Word)
  • A well-motivated individual who can work on their own initiative but also be able to work effectively as part of a team


Other desirable skills:

Experience with using SAP systems (Ideal)
Previous experience working in a project-based environment
