Purpose of the job
To provide support to the SHE department. This involves a diverse range of duties including supporting compliance with our processes, providing purchasing & financial administration support, preparing correspondence, reports / presentations, handling information requests, planning conferences / meetings, maintenance of company systems and reporting.
Our work must be done in a safe and sustainable way and the postholder will role model our exemplary SHE standards.
Reports to
Head of SHE.
Key Accountabilities
To assist the Head of SHE:
· To analyse and report output from SHE systems and tools for risk management
· To assist in ensuring NUVIA’s ISO 14001 and ISO45001 accountabilities are met
· To monitor and provide administration of the following:
o The SHE intranet pages
o UNOR System
o Chemical Management System
o Cardinus Display Screen Equipment (DSE) Platform
o Cardinus Driver safety Platform
o SHE management system documentation
o Corporate policy review, ensuring adherence to document review timelines
· To prepare data and reports from, and maintain data within, relevant corporate reporting tools
· To ensure SHE communications are communicated to the business
· To support the corporate policy review process
Occupational Skills and Knowledge
· Qualifications up to GCSE Level or equivalent (A-C or 4-9)
· Experience of working in a highly regulated corporate environment
· IOSH qualification (desirable)
· Strong IT skills required, especially Microsoft Word, Excel, PowerPoint, Adobe and Teams.
· Excellent written and spoken communication skills
· Excellent organisational skills; able to prioritise workload
· Strong attention to detail; takes pride in work
· Experience or awareness of SHE in a corporate environment is desirable
Duties and Requirements
· To work independently, with supporting guidance, across a range of topics of importance within SHE.
· To support wellbeing activities; form part of the wellbeing working group.
· To respond to and initiate enquiries (questions regarding purchasing, personnel, facilities, administration, specialised programs, etc.) Explain policies, answer questions, and independently resolve problems whenever feasible.
· To perform specialised administrative duties required to support the department, using discretion to make judgments based on operating guidelines. To support in sensitive matters that may arise from specialist work.
· To support purchasing requirements for department, researching items and obtaining price quotes, entering information into business systems, receiving purchase orders, and maintaining key information as required.
· Assisting with the preparation of presentations, reports and other required documents.
· To escalate matters to specialist managers as and when required.
· To undertake any other duties, as may from time to time be required, commensurate with the level of the role.
· Travel will be required as and when necessary.
· The ability to hold security clearance (SC Clearance) .
