JOB TITLE: Site Administrator - 6 Months Fixed Term Contract
FUNCTION: SB3 - HS2
ROLE LEVEL: Reports to: Site Project Manager
LOCATION: Allocated Project - Birmingham
ROLE PURPOSE:
Undertake a full range of administrative duties to ensure an efficient service is delivered. To include: Inputting site operational information into relevant spreadsheetsInputting site allocation data into relevant spreadsheets – staff, labour, materials & plantUploading site documents to BC – working with the SB3 document control teamMaintain and update office notice boards with relevant informationCo-ordinate with the internal training and competency team and relay training course requirements to site operativesMaintain site registers for briefing attendance / H&S inductionsAct as the first point of call for the client’s Office AdministratorResponsible for ordering and distribution of Personal Protective Equipment for site teamPerform general office duties such as ordering office suppliesDaily input and management of hours worked for all site operatives and site staff, and feeding into People Allocation SheetDaily updating Plant/Equipment Allocation SheetCollection and submission of Plant and Equipment Maintenance SheetsCalculation and submission of total hours workedDaily updating of Materials Received Allocation SheetCalculation and submission of total number of deliveriesCoordination with Finance Team regarding deliveries e.g paperwork collation and inputtingData input from site activities to reports and recordsCoordination with Site Management and Resources Team regarding staff and operative training scheduleGeneral administration e.g photocopying, scanning, and filingOrdering office supplies and stock checkSupporting Project Manager and Engineers with report writing/collection of dataPlay an active part in the continuous improvement of administration processes and duties.Maintaining Absence/Sickness/Holiday trackers for the Blue Collar employees.Collection and submission of sub-contractors’ timesheets to the respective agenciesGenerating and submitting all procurement site requisitions through forms, R12 and catalogue and keeping track of all goods received through requisition trackers.Supporting the commercial team with monthly updates on hired items and labour hours.
